(Feel free to share with any delegates or members who are not on the Region 4 listserve). 
 
Please see detailed list of what the Texas GMOs and members are paying or doing for the USDF convention in Austin next month.  For those of you attending the convention, a 'thank you' or pat on the back to them would be much appreciated!  I am sure Linda Landers and the organizing committee from when the convention was held in Kansas City are well aware of the personal assistance put forth to make that a successful convention.
 
The Region 9 director would like to know if other regions can help.  The Balance Sheet for the Region 4 accounts is inserted, below, and full file posted on at www.yahoogroups.com/group/USDFRegion4 (and attached, as well).  All grants have been paid for the year, so no additional expenses are expected except possibly from the FEI jr/yr account.
 
Please share your thoughts if Region 4 should help cover convention meeting break costs and, if so, please make a recommendation regarding how much.  It would make the most sense to use the General account, if the Region does make a donation.  Thank you for your thoughts and input.

Subject: Convention Meeting breaks..

Hi everyone...
I know USDF is really watching the budget for the convention. On the convention conference call last week...we were told only the meeting break that Dallas Dressage Club is helping to sponsor... with $1500... beverages, and food would be served.
And that the other meeting breaks... no beverage, or food would be served.
With the meetings going from early morning to late afternoon... I feel the convention attendees will be very un-happy to not at least have coffee or tea at the meeting breaks.
 
I am not sure in the past what other regions have helped with... but here is what our GMO's, etc... are paying for:
 
Welcome Party at TGI Fridays:
Central Texas Dressage Society :  $2000.
Houston Dressage Society:             $1600.
 
Convention Pins: 
Oklahoma Dressage Society:  $500
 
Bandannas to give out at the welcome party:
                                    no set cost yet
 
Decorations for the Gala / Banquet:
Alamo Dressage Association:   $400.
Bert & Castus:                             $200.
Carolyn VandenBerg:                 Making the table centerpieces.
USDF :   has budgeted $2000. for the stage decorations... poinsettias, and shrubbery....if we can not get them donated.
 
Music CD for the Gala/ Banquet:     this is saving USDF $1000.

Memento / gift for the gala/ banquet attendees:
Star Wine Stopper
BACH:             $500   & gala decorations if all $500 is not needed.
 
Meeting Break:
Dallas Dressage Club:  $1500. 
I understand it will cost about $2200 to over $4000. or more to serve food and beverages. Depending on what is served.
There are package options of $10 per person, and $11 per person... with cookies or date nut bars, soft drinks, water, Starbucks coffee and tea.
 
Also... I noticed that house coffee is $17 a gallon -v- Starbucks at $72. a gallon.
Looks like the a'la carte items would be less expensive to go.. once you knew approximately how many were attending.
 
There are 3 meeting breaks scheduled:
Wed am - 10:15 to 10:45
During BOG Thurs. pm - 3:30 - 4:00
During BOG Friday am - 10- 10:30
 
I would hope at least during both breaks of BOG... we could give the delegates beverages and cookies/ snacks !!!!
To help their outlook !!!
