Hi everyone,
 
First off, Holloway, UCL and Kent need to reply to unicoordinator@... asap with a contact email for your club for the purposes of voting on matters discussed at the AGM, or you won't have a say.  Well done to everyone else for being active in getting involved with this.
I've copied the full minutes at the bottom of the email but have snipped out a few things which might be of interest below:

* Should 'Not the Nationals' be officially retitled?

North & Scotland expressed their Region's opinions that retitling was a
good idea.  UC explained that the prestige gain in the eyes of Athletic
Unions, BUSA, possible sponsors, was probably more valuable than
sentimentality.  It was discussed that calling it 'Division 2' would
necessitate referring to UNO as 'Division 1', alternative suggestions
being that the names 'Championship' or 'Cup' and 'Plate'/'Shield' be
promoted.  In discussion with the Board about trophies, the possibility
of supporting names based on the prize has been mooted and found
acceptable, and should any sponsorship be found, it would be even easier
to identify the competition with the award.  General consensus that the
event should be given a more formal name, but agreed that a ballot was
necessary.

You may remember we discussed this at the regional AGM and decided not to change the name.  My opinion since then has changed, and I can now see reasons for calling the competitions, say, Cup Nationals and Plate Nationals, but the final say comes down to you all.

After Regional Coordinators expressed contentment with the Triple
Elimination format, UC gave a brief introduction to the scheduling
document prepared by Jon Palmer, and agreed that this would be
disseminated after the event for general consumption. [Available from

Agreed need to ballot on the motion of capping Regional size to assist
in Triple Elimination use.

I suggest everyone reads the pdf (a Reader is free from www.adobe.com) before coming to a final decision about whether they support TE over the current crossover/knockout system - a new system can be suggested in the future if TE is found to be problematic.  Does anyone know exactly how capping Regional size will directly affect us, as one of if not the biggest region?

* Calendar Planning horizon

UC opened the floor to ideas on how to encourage earlier bidding...

After some discussion, the following motion was generated:
"Anyone can bid, but preference stays with the regional rotation."

Further comments for your consideration:
"I was just thinking that maybe it should be decided which exact region
will be hosting which of the four tournaments - 2 indoor, 2 outdoor -
next year at the AGM at nationals.  all regional coordinators would know
and a region would only host one of the 4 each year - both NTN events
are in the north this year.  the Regional coordinator then has a massive
amount of time to sort out venues; we host outdoor nationals on may bank
holiday so why cant we have somewhere booked even pre-xmas.  it would
mean it gives a lot more time for teams to organise themselves and by
having the weekends in stone early it would be good for the students
with finals etc. to organise around them."

This is merely an extension of what we were aiming for this year,
including 'NTN' as well as the National events.  At present, the South
should be holding Outdoor Nationals, and the Hinterlands should be
holding Indoor Nationals in December.  Please, start looking at venues now!

Take note - we could be hosting Outdoor Nationals in May 2006, so how about looking around your area for playing fields and making enquiries about how many pitches will be free and how to book them?  Once you have a venue sorted, the rest is relatively easy - I'm here to help anyone at any stage of tournament organisation if you need.

UC reiterated the Committee's commitment to BUSA recognition, explained
what efforts had been made this year, and pointed out that we would be
in an even stronger position to apply next year, particularly if more
clubs were proactive in getting all their members to sign up [even
on-line membership] with the UKUA.  Since this is a current requirement
to play Outdoor Regionals, some spot checks may encourage clubs to push
this.

* Women's issues

After discussion with the Women's Coordinator, UC expressed their desire
to see Women's Regionals next year, with Scotland happy on their own,
North+Midlands to combine [similar to the rotation Hinterlands] and
SouthEast+SouthWest.  Essentially, there is a need to increase
communication and devolve the responsibility from the National Women's
Coordinator to the next level down.  This means using the infrastructure
of the Regional Coordinators more, rather than expecting one individual
to manage everything Nationally.

Those of you considering bidding for a tournament next year - here's another opportunity, the Southern Uni Women's Regional Qualifiers.  I've been talking to Gemma, and, along with a number of Skills days next academic year, the womens element in clubs will hopefully be more linked together to give all willing women the opportunity to compete, even if their university doesn't have enough to field a full team by themselves.

Taylor presents herself for re-election, standing on the platform of her
experience in the position, continued support of Ange through this year,
and with a manifesto of implementing the ideas presented above.

* Maintain Regional Rotation system, with the proviso "Anyone can bid,

That wraps up the most relevant points - I support Gemma and everything she's done so far, and it could be worth giving the Mixed Coordinator's manifesto  below a read as a build-up to next year.
 
Feel free to put to this list any arguments you have for or against changing NTN's name, triple elimination, bids for tournaments, etc, before the vote so we can have a bit of discussion and a more rounded perspective on matters.

All,

Please find below notes from the AGM in Oxford.Continuing a trend
started by the pretty efficient and shortened AGM in St Andrew's,
Oxford's post-game conclave covered the agenda in good time and raised
relatively few points for National consideration.  As with last year, no
absolute votes were held, we simply generated items on which those
present believe the Uni Ultimate community have a decision to make.  So,
all of the below may warrant some discussion within clubs, or on the
group before you form any concrete opinions.  Only one club took up the
offer of specifying their nominated email address at the time, and
no-one has emailed since, so clubs now have until next week [midnight,
Friday 20 May] to tell me which email address should be considered as
their official vote.  Any club not doing so by that deadline will have
waived their right to be involved: if anyone thinks this is harsh, get
in touch.  Once all nominated email addresses are in, I'll let the group
know which institutes are voting, and they'll then have a week to cast
their votes.

"I suggested at Regionals that every team has to make a bid (or at least
report back on what they can offer).
That way there is no shortage of bids.  And if we can attach a
bonus/penalty scheme to those who do/don't bid, perhaps that is one
way to get it all sorted out."

Scotland responded by pointing out that several of their institutions,
even the stronger clubs, did not have fields for use, and so a negative
incentive would definitely not work.  The possibility of holding the
National events after exams was also raised, but after some discussion
rejected simply because of the range of exam dates.  The point was
raised that those who have early exams, and thus complain about the
current date, would probably have left their term time addresses if a
date was found after all institutions exam periods had finished.

After some discussion, the following motion was generated:

club's application, either for recognition or funding.  This letter
essentially already exists, and can be made available on request.

* Election of Regional Coordinators

Satisfactorily completed at Regional AGMs.

* Election of Mixed Coordinator

With no expressions of interest from those present, and no expressions
of interest from Regional AGMs, Tom Howard has since agreed to stand in
conjunction with his role as Northern Coordinator, and presents this
statement:

In my opinion, Mixed Ultimate is a very important part of the University
Ultimate calendar, especially for female players. I make this claim
based on feedback from the Northern AGM this year – the issue was raised
that women in clubs who do not have enough to field a women’s team
rarely get to play competitively in University competitions, or end up
playing against men and getting put off continuing. I see Mixed as an
important part of developing and keeping female players particularly,
but also UU as a whole.

University Mixed Ultimate has seen a successful first fledgling year
under the guidance of Ali Smith, and it is on her achievements that I
want to build. Were I to get the post of Mixed Co-ordinator, my
intentions are simple: I want to further promote Mixed Ultimate to the
University community to try to ensure that Indoor and Outdoor Mixed
Nationals are both well attended, and I want to liaise with the UKUA
central board to try to avoid any potential clashes which could affect
this; I want to encourage more CoEd tournaments generally, so there are
more options and chances to play available; and were there a demand, I
would consider the possibility of holding CoEd Regionals and/or Not The
Nationals.

Until Mixed becomes a more staple part of the UU calendar, the role of
Mixed Co-ordinator, at the moment, is one which is largely driven by and
needs to involve a big degree of enthusiasm for the sport, which then
needs to be translated into promotion and organisation of the Mixed
division. I feel I have the devotion to Ultimate necessary for the post,
as well as the experience: I am finishing the end of my third year of
playing University Ultimate, have been club-captain of Phat ‘eds
(University of Sheffield) for the past year, and am also the UU Northern
Regional Co-ordinator.

Next year I will also be the Sports A.U. / Union Sabbatical Officer at
the University of Sheffield - this means I will be readily contactable
almost all day in my office via email of phone for any queries. It also
means I will be in a prime position to help in the pushing for BUSA
recognition of University Ultimate.

* Election of Women's Coordinator

We have one candidate for the position, who I'm sure most of you know.
Find his personal statement below.

Introduction:
Hi my name is Ed Blockley (aka Tedy) and I am doing a PhD at the
University of Exeter and hence represent Uriel at UU events.
In addition I play for (Tenacious) Devon in the Tour as well as for DHB
and The Cowboys at various other open & beach events.

Experience:
For the past 2 years I have served on the UU committee as Southwest
Regional Coordinator and am keen to take on the role of University
Coordinator.
I have also been an active committee member of Uriel for most of the
last 3 years previously as treasurer and now as club captain.
Aside from the Ultimate scene I am also very involved with BUSA. I was
the AU President at Exeter last year and, from this, was elected
Vice-Chair of BUSA.

Aims:
My number one aim for the coming year is to gain further recognition for
our sport within institutions, BUSA and the country as a whole.
Getting Ultimate in as a BUSA sport, of course ranks very highly on that
list.
I'd like to further tidy up the bidding process for our tournaments so
that clubs know well in advance of Regionals/nationals where and when
they are going to be held.
I also would be friendly and approachable to all of our university
membership and try to visit all of the regions during the course of the
year.
