For those of you who don't know.  Troy has been diagnosed with cancer and is starting treatment next week.  Here is a forwarded message to give more information.   There is a bank account set up at Umpqua Bank for anyone who would like to donate some money for Troy and his family.  I will be sending the information soon as well.  I don't seem to be on the Ashland list serve and would like to be on it.  would someone forward this to that ultimate group as well.

Hello All-

I'm writing to update you on the Hemmerling/Auer family and to let you
know about the calendar we've set up to sign up for meals, walking
Ruby, or playing with Tess.

Troy will begin 3 months of chemotherapy on Wednesday of next week.
After that, he heads off to "the mother of all surgeries." They have
requested some help with meals beginning next week (December 2).  If
they could get a dinner delivered about 5 or 5:30pm on Mondays,
Wednesdays, and Fridays, that would be fantastic. Currently, there are
no diet restrictions-  we'll let you know if that changes. If you
deliver the meal in pots/pans that you need returned, they'll have a
box out on their front porch where they'll put the pots and pans and
you can come pick them up.

They also could use some help walking their dog, Ruby-  a young lab
that loves her exercise. If you sign up to walk Ruby, please indicate
what time you'd be able to walk her. Ideally, they'd love a morning
person and an evening person since that's what she is used to.  Also,
she loves to run (for all you runners out there), but isn't so keen on
chasing balls.

Lastly, they would like some playdates for Tess.

It basically takes you back to a regular google page, but now my
e-mail's at the top.

Look on the top left, there's a list of tabs (Web, Images, Videos,
maps...), click on "more" and scroll down to "calendar".

Once in the calendar, look up at the tabs up on the right, just above
the calendar and click on the "month" view.

This should get you to a normal looking calendar.

To add an event, just click on the day and start filling in the form
OR you can click on "Create Event" on the upper left.

For dinners, please put "your name:dinner:phone number" as the event title.
For walking Ruby, please put "your name:Ruby:phone number" as the
event title. Also, add the time you would come to get Ruby. You may
have to click on "edit event details" to add the time in.
For playdates with Tess, please put "your name:Tess:phone number" as
the event title.  Also, please add in times. You may have to click on
"edit event details" to add the time in.
If you're computer saavy, while creating the event,  choose which
calendar (Ruby, Tess, dinner) and the message is color coded. Then
save your event

A. Ongoing business –

1. Bear Creek Festival report
The ultimate game was 5 on 5’s and rainy. Feeling was that participants came mostly for the children’s activities. Next year have more activities that cater to kids. Idea of a raffle or contest to give away frisbees. *{From Joe’s perspective the location of the field in comparison to the rest of the activities at the festival hindered people stopping by. We had 1 new person (a former player) that came and played a few points. His opinion was that the festival was already full of family entertainment and people weren’t showing up to exercise. For it to work next year we would need a lot of support from the community, large banners, and a way to make it more entertaining (perhaps a hammer or disc throwing contest???) and a way to corral people over to field.} *Not discussed at meeting

2. Fall leagues wrap-up
    a. ‘Fun League’ comments
- Hard to get games started on time
- Numbers dropped as weeks went on
- Overall a great vibe
Chris and Hayley did a Fun League survey (approx. 17 players participated).  Majority thought competitive level was ideal. Seemed like all players felt comfortable pulling, hucking, picking up the disc, etc.

Suggestions – change name from ‘league’ to ‘pick-up’ to make games seem less intimidating.  Try to get spread word to high school students. Start earlier in year.

‘B. League’ comments
- Consensus that this was best league yet. Fact that we labeled it ‘competitive’ helped players just play and not worry about catering to new players.
- Discussed the levels of ultimate available in R. Valley: B. League most competitive, pick-up less competitive, Fun League even less.
- Even teams, intense level, and generally great spirit.

Suggestions –
1. Fields side-by-side for future leagues. Check out fields on Colver Road (soccer ones near Talent) and Colver Park closer to Phoenix (w/ horseshoes).
2. Start leagues earlier next year - April/May before Cramp-Up.
3. Create Handbook/Guide for the league Commissioner that will become the guidelines for next league and future leagues.
Some of the questions that need to be addressed in this handbook:
-    What do we do with players that show up for one league game?  If they sign up ahead of time, and pay their $20, no big deal. We shouldn’t have players showing up if not registered.
-    If teams can’t field enough players? Commissioner and captains discuss what to do. A forfeit, like what happened during Regionals weekend seemed like the right idea.
-    Gender mismatches? Not enough women?

Geoff committed to being Commissioner for spring league ‘10. YAHOO!

b. Paying Parks & Rec – Jay dealing with numbers. Some players never paid. $5.00 of league entry fee goes to Parks & Rec.

c. Concept for next year:

Tournament ideas - Geoff has idea of ‘From Dusk to Dawn’ ultimate tournament in the spring. Issue of course is fields. Josh to ask Rich about fields and to contact Dr. Josh to ask about N. Mountain fields.

Should we have two leagues, Competitive and Fun leagues?  Idea of just having a ‘fun’ pick-up night. That might not get numbers. If we have ‘fun’ league where players have to pay, we should keep more players. Consensus was to keep both leagues. Maybe change ‘fun’ league name to something like ‘laid back league’ or ‘casual league’

Recruitment should come from Fun league. New players need to start in this league. Recruit high school students.

3. Winter pick-up
Winter pick-up starts November 12th, Thursday 6-8 pm at US Cellular fields. This time slot is for eight weeks ending on New Year’s Eve. After the New Year discuss new pick-up day.

Sunday at 2:30 at Fichtner is still on.


4. Email and website
Tyler found someone to help create website, within our budget ($400/500). His time-frame is tight…might take several months. Still in discussions about using someone else, or just doing it ourselves.
Nate proposed using googlegroups over yahoogroups and change website from www.medfordultimate.com to www.soupa.org

5. SOUPA organizational issues
    a. Treasurer’s report – discs were $621.04
After paying fields and fees should have a balance of around $2,200. We are keeping even.  Jay to pay for fields by end of week.
b. Purchases – cones. Buy 4 or 5 sets of cones. Discs – work on creating a new design for disc for following year. Tyler to send out email requesting new SOUPA design. Winner to receive $50.00 prize for winner). Due by Feb 1st. Will vote on best design at community-wide meeting in February.

c. Association status
Still under the radar according to Jay.
Josh to talk to insurance agent about liability insurance.

d. Board positions/elections
Re-elect every year?  Must commit to a minimum of one year as a board member.

Decision to make terms last for two years, with exceptions if need to end after a year. Year starts and ends in February of each year. We will stagger board positions starting 2010 year with the Marketing/Recruitment and Chair positions up for elections. The following year (2011) the Vice-Chair, Secretary and Treasurer will be up for elections.

6. Community-wide 2010 meeting February 18, 2010. Location to be determined. It would be nice to have at someone’s home. Open to all in community to discuss ultimate in R. Valley. Also will vote on disc design.

7. Subcommittees
Need to create Sub-Committees for: Handbook, Website, and Fun league.

a.    League Handbook – 3-ring binder that is both a hard copy and available on-line. Geoff, Jay, Katie and Marisa to work together and finish by February 18th meeting.
b.  Website – Tyler and Nate to finish by Christmas.
c.    Fun League – Need to recruit better and earlier in year. Chris undecided about
being Commissioner for next year. We need more help with Fun League.

Next meeting:   February 18, 2010

Action Items for Board members:
•    Jay to pay for previous league and this league fields by end of week.
•    Tyler to send out email requesting new SOUPA design.
•    Josh to talk to insurance agent about liability insurance.
•    Buy 5 sets of cones.
•    Josh to ask Rich about fields and to contact Dr. Josh to ask about N. Mountain fields.
•    Get together with your subcommittee.

Remember pickup under the lights on Thursday night, US Cellular Field 14, rain or shine.  The weather looks nice, but no mud either way!  I understand last week we ran out of time and had to surrender the field, so let's be ready to play at 6:00pm.

We're also trying something new this week--we're going to run a casual game of non-competitive pickup at the same time.  There was interest in such a game following up on fun league.  When we set up the fields, lets do a full field on the near side and save the far side for a smaller second field.  There's enough room for this if we plan ahead.  If you know anyone who might be interested in a casual game of pickup, bring 'em along.

Hey all, to be clear, there are currently two ongoing pickup games:

 - Sundays 3:00 (pull) at Fichtner
 - Thursdays 6:00 (pull) at US Cellular, field 14

With both of these games, we have limited time (darkness on Sunday, soccer on Thursday), so the times are pull time.  Show up whenever you need to so that you can be on the line at 3pm Sunday and 6pm Thursday.

If you haven't looked outside yet, it's an ultimate day, no two ways about it.  See you on the field in a couple hours,
