If you are arriving on Friday, please don't get there before 7 p.m. If you are
arriving by train, the nearest station is Wylde Green (on the line from B'ham
New St to Lichfield) and then it's a 1.4 mile walk. I hope to have a school
minibus for the weekend though, so give me a call when you arrive and if I can
I'll give you a lift, and save you the walk.

The Venue
Â
The tournament is taking place in association with Sutton Coldfield Rugby Club
at the Roger Smolden Ground, 160 Walmley Road, Sutton Coldfield, West Midlands,
B76 2QA. Look it up on an internet routefinder, slacker!
Â
The Site
Â
There will be 6 pitches, these will be laid out as per the image below only with
a 4th pitch ‘out the back’ where currently only 3 are drawn on. The rugby
posts are still up, but the ultimate pitches fit within them, so no problems
there. The Blue Number 1 on the photo is the entrance to the site from Walmley
Road. Parking is available anywhere along the red line; please start at the end
by where the space is marked for camping. Number 2 is the clubhouse. Number 3 is
a cricket pitch separating pitches 1 and 2 out the front from 3, 4, 5 and 6
round the back.

Police
Â
In a bid to keep the Rugby Club happy that all is in hand, and also to reduce
any risk for us as TDs, there will be visits during the days from local police.
It’s no big deal, but we are now on their list of places to call by. And they
know we’re there all night too. Not an issue as we are responsible and
everything was fine last year, but you should be aware that this is the case.

Site Rules
Â
There will be no alcohol on site. At all. End of story. If this is such a big
deal for you that it’s going to ruin your weekend, stay at home or arrange
alternative accomodation. Similarly there will be no drunken or rowdy behaviour
tolerated. It is a residential area, the Rugby club’s reputation is at stake
(and my reputation, and that of the game of Ultimate), besides which some people
value a good nights sleep. If you come back from the pub drunk and rowdy you
will be asked to leave the site, and where you then stay is your problem. I know
it’s not going to be a issue, so I won’t overplay it. Just be aware, and
don’t do it.

No smoking onsite either, and definitely nowhere near the clubhouse. It’s a
public place.

Litter
Â
We were pretty good with this last year, but there was room for improvement.
There are plenty of bins, and there will be bin bags taped to tables by each
pitch. USE THEM!!

Camping
Â
In the area marked on the photo. Stay at that end of the pitch as it’s the
furthest place from the nearby houses. Those arriving on Friday night must camp
in the strip of land between the rugby posts and the car park as there will be a
group of footballers using that pitch for a few hours on Saturday morning.
People arriving on Saturday may then expand the camping area into the pitch on
the Saturday afternoon once the footballers have left.

Cricket
Â
There may be a match on Saturday and on Sunday. The cricket pitch is between the
2 fields that our five pitches will be marked on. If you have to move between
pitches 1/2 and 3/4/5 then don’t loiter and irritate the cricketers. And walk
past between overs rather than mid game. Thank you.

Water
Â
There will be a water container on each pitch, and some Arctic helpers ensuring
that they stay full. Please don’t remove it from the pitch.

Changing Rooms/Showers/Toilets
Â
We will have 4 changing rooms available. These are literally just rooms, and
have just been refurbished. The rugby club is not particularly set up for mixed
participants, so one room will be marked for girls, and 3 for guys. There is
only one set of showers and toilets on that corridor. However there are girls
toilets in the upstairs bar area that we will have access too. And for showers,
we’ll have a half hour window on Saturday evening when only girls are allowed
in the showers, and half hour where only coaches/adults are allowed in. We’ll
make this obvious, so girls watch out. Can’t guarantee hot showers, best
chance of it is probably between 6 and 7 pm. That’ll be the coaches slot!

Food
Â
During the day food will be available for purchase from the upstairs bar area in
the clubhouse. I am led to believe there will be an array of sandwiches, pasta,
hot dogs burgers, snacks etc. Much the same on Sunday, but with cooked breakfast
from about 7:30 Do it! Eat it! Plus chocolate, drinks and all that stuff. Just
down the road there are the usual shops and takeaways, and a couple of miles
away a huge ASDA. Buy the food from the clubhouse though – the money there is
going back into Junior rugby and ultimate.

Game Disc
Â
Each team will get a game disc with their name on. Use these to play the games.
At the end of the tournament have a team vote for MVP or MIP or most spectacular
play (or most spectacular balls up!) and give it to that person to keep.

Saturday Night
Â
We have access to the upstairs area during both days, but on Saturday night will
have to vacate it by 6 o’clock as it has been hired for another function. It
goes without saying that they do not want any Ultimate gatecrashers. A little
respect please. We will have access to a downstairs room, which will be
particularly useful a). if it’s raining and/or b). if you want to watch the
Holland semifinal. Under no circumstances are we allowed behind the bar in this
room. (The bar will of course be shut).

I have a key to all the places. Once I go to bed, the toilets in the bar areaÂ
will be locked until I get up in the morning. I will give good clear warning of
this!
Â
First Aid
Â
We will have the very basics with us – plasters, tape, ice spray if you’re
lucky. Then there’s a big hospital round the corner. My advice – don’t get
hurt.
Â
Weather
Â
Don’t expect the very very very worst because we had that last year. But be
prepared for something pretty bad. Â And bring suncream and sunglasses just in
case…

I’ve only done this once before, and feel I mainly survived that due to other
people’s hard work and experience. When the things that I have forgotten
materialise, I’m relying on your common sense and your good grace.
