Dear Members,
Another year has rolled past and it time for our yearly AGM to get together
to plan our clubs activities for the coming year, review the past year and
to select our representatives for the year.
The meeting will be held at the South Bank dojo at 6:30p on Thursday Augest
the 5th and all financial members, instructors and current executive are
expected to attend! The meeting will run for approximately one hour and will
be followed by a sumptuous meal (with or without anchovies) together
provided by the club
The AGM meeting determines broad future directions for the club to be
carried our by the newly elected executive committee. I encourage you all to
submit additional agenda items prior to the meeting (which will be addressed
during general business). Please submit these directly to myself.
Your membership and commitment to the club is appreciated as without your
support our activities would not exist and would not have grown to the club
it is today. I encourage you all to continue in your study of aikido and so
encourage your instructors to continue their study of the art as well. I
would also like to encourage you all to take a role in the operation of the
club - for many your support of current classes is sufficient to help make
it a vibrant club, but I would also like you to consider yourself as the
instructors of tomorrow and also to helping with other duties for the club
and possibly serving on the executive committee.
If you are interested in formalising your role in the club as an office
bearer I encourage you to discuss this with other members and instructors
and submit nominations to me (you may self nominate or nominate another with
their permission). You will need to commit to a one year period on the
executive committee which includes a monthly meeting (currently 1st Tuesday
of the month,5pm South Bank dojo), and some administrative duties during
other times. Nominations can be submitted directly to me prior to the
meeting.

EXECUTIVE POSITION DESCRIPTION
Club Executive position descriptions
1. Executive Positions
1.1 President
- liaise and report to university and michael williams sensei
- prepare executive reports for university
- co-ordinate overall activities of the club
1.2 Vice president
- co-ordinate day to day clubs activities and management
- communicate special activities to members
- arrange purchases of additional equipment
1.3 Secretary
- co-ordinate day to day clubs activities and management
- communicate special activities to members
- keep membership role
- keep inventory of equipment
- organize courses (e.g. GU and RAW)
1.3 Treasurer
- do regular reconciliations of clubs activities
- pay regular bills
- submit annual audit to university (July)
- submit annual university club subsidy application form (Augest)
1.4 Dojo co-ordinators(3 positions)
Nathan, Logan, Southbank
- Responsible for activities on each campus such as:
- keep financial records upto date and submit at monthly executive meetings
- keep track of new members and submit to secretary
- keep a dojo notice board
- maintain dojo
- liase with university for room bookings etc..
- promote aikido locally through demos and posters
- Report on activities at monthly executive meeting
- Submit membership forms and other reporting documents monthly
1.5 Other roles assigned to members
1.5.1 Equipment to keep a record of equipment, ordering of new equipment
and maintain library
1.5.2 Liason to promote aikido to wider community , to follow up on absent
members
1.5.3 Phone support take calls on club phone
1.5.4 Email support answer email enquires

1.6 Tuition fees for Office bearers and instructors
- The club recognizes the contributions of its instructors and the executive
committee and accepts that this may be in lieu of financial contribution (as
determined by the individual).
- The club will endeavor to subsidize seminar attendance fees for its
instructors
Visiting instructors from other dojos are also extended the same courtesy.
1.7 Role of Instructors in club management
The club exists as a democratic unit, whereas traditional aikido practice is
follows a traditional, hierarchal structure. Therefore authority for the
club rests with the executive when not training, however when on the mat we
are in feudal Japan where authority rest s with the instructors
The club recognizes these differences and invites all instructors to attend
executive meetings. Its also expected that instructors will periodically
serve on the executive committee.
Instructors are responsible for particular classes including the
arrangements for alterations to existing bookings, notifying members of
alterations to their class times.
2. Instructors
2.1 Personal
- Be a currently certified instructor (nominated by club annually and
appointed by national body annually)
- Be familiar and adhere to the Aikido Yuishinkai official guidelines for
instructors
- Act in a supportive and professional manner for the club and fellow
instructors.
- Promote all club activities as directed by the club.
- Attend regular classes given by the chief instructors (of relevant style).
- Attend seminars on a regular basis.
2.2 Admin
- Have a valid e-mail address (as this is the principle means of
communication for the club)
- Periodically serve on the clubs executive committee.
- Carry out periodic organizational duties as directed by club executive
and/or dojo chief instructor
- Attend club executive meetings (held monthly)
2.3 Class duties
- Maintain lesson financial records as directed by the treasurer, where dojo
co-ordinator is not available.
o A completed proforma(available on web site) statement must be submitted to
the treasurer, usually monthly or quarterly. This statement will itemize
receipt numbers and receipts for any expenditure incurred.
- Keep up to date records of members on the membership proforma (available
on web site)and submit at monthly executive meetings to the secretary. (This
is stipulated by the university and therefore vital to clubs survival)
- Ensure all students have signed a disclaimer for their dojo.
- Fill out an incident report form for any accident.
- Ensure all students sign the club insurance disclaimer
- Be available where possible to periodically relief teach other classes
2.4 Head dojo instructor
- A dojo chief instructor will be appointed by the national body from the
clubs instructors.
- Be responsible for technical direction of regular activities
- Ensure students are graded when appropriate
