In order to kick the season off right, we'll be having a Fundraising Party at
Buffalo Wild Wings on March 3rd. The party is going to have a Mardi Gras theme,
but I'm going to need a little help to get everything to go off nicely. I'm
going to work with BWW to try to get some sort of decorations up in the bar.
I'm also going to pick up a few cases of beads (no, not anal beads Thomas) to
give out and/or sell at the party. Here's how things are going to work. We
have a DJ who has volunteered his time to us for free, and Buffalo Wild Wings
let's up collect a door fee to get in. Basically, what we do is ask for a
minimum $5 donation to get in. We can also sell 50/50 raffle tickets for a
drawing that we'll have that night. I'll get some tickets out for us to sell
beforehand. What we'll do is get the person's name and number (at the least) on
each ticket to go in the pot, initial it (to prevent cheating), and let me know
once a week or so how many you've sold so I can update the prize amount online.
The higher the prize, the more people will buy tickets. I'm suggesting ticket
prices of: 1 for $2, 3 for $5, 7 for $10, and 15 for $20. I'm also going to try
to get permission to sell some of the team t-shirts while we're there (for $15
each). We'll be giving away some beads at the door, but depending on how many I
order, we might be able to sell some of those at the door too. (I'll decide on
the price later.) I'd have to get permission for that too, obviously. The DJ
will play the music, occasionally call out a ticket number for a door prize, and
toward the end of the night, we'll have the 50/50 raffle. I'm also going to
talk to the manager about having some rugby up on some of the screens while
we're there. Why not promote the sport while we promote the team, right? I've
heard that Rob is working on some very nice fliers for the event, so we'll need
to put those up in advance too. We'll do some things to try to get the event
promoted, and hopefully, we'll rake in the dough.
What I will need is some volunteers to help out with some things during the
event. Detailed below is what I'll need. The more volunteers we have, the
shorter the time that each person will have to work. I need:
2 Doormen to:
- Take donations outside (minimum of $5 for entry). Each person will get a
door prize ticket (different color than raffle tickets), probably 2 beads, and
entry to the party, of course.
- Sell Raffle tickets. We'll be having a 50/50 raffle with sales starting
relatively soon. (Everyone can participate in the pre-party sales.)
- Sell T-shirts. We can make some money if we can sell of some of the team
t-shirts we have extras of. (I still need to get approval for this one from the
manager.)
2 Indoor 50/50 raffle ticket salesmen (or women). Just go around all night
trying to sell the things. This will be especially important in the hour or two
before we have
1 DJ Beer Bitch/Gopher: I told the DJ we'd have a personal beer bitch for him.
He really liked that idea. :)
We may also need 1 or 2 extra people to help out with whatever.
A few things I'll need before the whole thing starts:
- Door prizes to give away: I'll throw in a couple of team t-shirts. A few
donated gift certificates would be nice too. And anything else you can think of
that might make a good door prize would also be good.
- Pre-party raffle ticket salesmen (and women). I'll try to have several rolls
of the tickets at the Interest Meeting tomorrow, so if you want to sell some,
that'll be a prime place to get them. Get in touch with me to get some if you
can't be there or if you run out and need some more to sell. Let me know once a
week (or more often if you'd like) how many you've sold so I can update the
prize amount online. I'll get this set up by the start of next week.
I think that's about it for now. If you have any ideas or suggestions that you
think will make this whole thing better, let me know. Or, if you have critiques
or ideas, let me hear those too. Thanks, and I'll see you guys tomorrow night.
Pete, I'll post this to the message board, so if you can email it out with your
next one, that'd be great. Thanks.
