We will be doing trail maintenance at Memorial Park from 9:00 am to 2:00 pm
this Saturday. Food will be donated by Chipotle, so please RSVP if you
will be helping - we need a head count for the food. Bring shovels and
rakes. We will meet in the soccer/rugby field parking lot near the trail
head. We will be working in Cambodia (Green Trail) and finishing the work
on Call-out (Purple trail).
GHORBA May meeting is Monday, 13th at Jax Grill at 7 pm. Please come early
if you plan to eat. We will be discussing GHORBA elections to be held in
June. If you are interested in running or voting, you must have your
membership up to date. Further instructions on running for specific
positions will be discussed at the meeting. The positions are as follows:
President
RESPONSIBILITIES INCLUDE:
1. Officer of GHORBA, Inc.
2. Signature authority for GHORBA bank account
3. Ensure financial records meet IRS requirements
4. Ensure GHORBA maintains activities and fundraising efforts in
accordance within requirements of 501c(3) Charitable Organization
tax-exempt status.
5. Oversee all GHORBA activities; assist as requested or necessary
6. Official representative of GHORBA at meetings with agencies and/or
landowners unless delegated to another member.
Vice President ? Trails
RESPONSIBILITIES INCLUDE:
1. Officer of GHORBA, Inc.
2. Oversee activities of Trail Maintenance/Design Committee, including
New Trail Development
3. Coordinate with Fundraising/Finance Committee for securing of needed
building materials or grants
4. Coordinate trail maintenance and design training for all trail
stewards and committee members
5. Attend any meetings with park governing agencies concerning trail
issues
6. Give reports to IMBA on new trail prospects
7. Conduct monthly meeting in President's absence; prior notice will be
given.
Trail Maintenance/Design Committee (TR)
RESPONSIBILITIES INCLUDE:
1. Reports to Vice President
2. Determine repair work required for each trail system
3. Document either by digital camera or on paper conditions of trail
sections and fix for design flaw
4. Contact governing body to obtain access permission and set maintenance
schedule for trail system
5. Coordinate with governing body to obtain fill material, assistance,
and possible tools
6. Be trained in or familiar with IMBA trail standards
7. Ensure trail stewards are adequately trained
8. Educate volunteers on repair techniques and proper construction of
trails
9. Order IMBA or USFS materials, as required
10. Maintain record of individual volunteer hours on an annual basis for
rewards at year-end
11. Document and maintain GHORBA-owned tools ? this means storage and
loaning out of tools
New Trail Development ? Position w/in Trail Committee
RESPONSIBILITIES INCLUDE:
1. Reports to Vice President
2. Attend meetings with landowners or agencies
3. Write proposals to landowners, including IMBA material, TX Liability
Laws, trail/bridge specs
4. Be trained in or familiar with IMBA trail construction standards
5. Coordinate actual trail design with Trail Maintenance Committee
Treasurer
RESPONSIBILITIES INCLUDE:
1. Official Treasurer for GHORBA, Inc.
2. File tax documents for GHORBA and maintain contact with IRS in the
event of GHORBA address change
3. Make deposits of all funds to GHORBA account, issue checks when
required
4. Maintain financial records
5. Determine annual budget with assistance from other chairpersons
6. Oversee Membership and Fund Raising/Sponsorship Committee activities;
assist as needed
7. Report status of GHORBA funds to President and to general membership,
as needed
Fund Raising/Sponsorship (FR)
RESPONSIBILITIES INCLUDE:
1. Chairperson reports to Treasurer.
2. Work with other committees to determine financial needs for GHORBA
3. Seek sponsorship and/or grants for GHORBA
4. Coordinate with PR/Events for fundraising events
5. Write proposals and receipts to sponsors
6. Write letters of support for grant applications with HCFC, PD or
private landowner
Membership (MS) ? Amanda Blessing, Chair
RESPONSIBILITIES INCLUDE:
1. Maintain electronic copy of membership application
2. Coordinate any redesign of application with other committee
chairpersons
3. Obtain printed copies of application
4. Ensure all viable bike shops have copies of applications
5. Maintain records of individual members
6. Send out renewal notices to past and present members
7. Determine potential locations or activities for bring in prospective
new members
8. Issue membership cards and letters to new and renewing members
Secretary
RESPONISIBILITIES INCLUDE:
1. Official recorder of GHORBA meeting minutes
2. Oversee activities of Special Events and Public Relations, assist as
needed
Special Events (SE)
REPSONSIBILITIES INCLUDE:
1. Plan events
2. Determine event location
3. Coordinate and obtain advertising
4. Find volunteers to support the event
5. Determine permitting or other access requirements
6. Coordinate with Fundraising/Finance Chairperson on expenditures,
admission cost, and sponsorship issues
7. Determine types of rewards and give-aways, as applicable
Public Relations (PR)
RESPONSIBILITIES INCLUDE:
1. Write GHORBA press statements (if rebuttal to existing article, must
have consensus from rest of board prior to issuing of statement)
2. Post monthly meeting or news notices at park(s) and fax notices to
area bike shops
3. Publishing, either in paper or electronic format, a quarterly
newsletter
4. Either writing or find another person to assist with writing of
articles
5. Working with webmaster and/or Membership disseminate newsletter to
members
Website (WB)
RESPONSIBILITIES INCLUDE:
- Assist other committees with website advertising requirements, news
- Ensure Events section is up to date
- Post meeting minutes within one week of monthly meeting
- Maintain electronic archives of proposal letters and meeting minutes
- Post By-laws and board member positions and requirements on website
At Large Board Member ? Two Positions
RESPONSIBILITIES INCLUDE:
1. Reports directly to President
2. Assist or lead projects, when needed and agreed upon
3. Determine election slate, positions, responsibilities
4. Stay current on GHORBA activities
5. Provide advise, insight or assistance to other board members when
possible
6. Attend all board meetings
